Tipslip driver privacy notice

The app only records things when you save a job (a drop, a collection or a tip). It records:

• Where your phone is, once. The app asks your phone for its position one time, at that moment. It waits up to 5 seconds. It also records how accurate the position is.
• The time the job was saved, from your phone's clock.
• Photos you take of the skip and the load.
• Your signature and the name you type under it.
• Your name, which goes on the waste transfer note.
• A code for your phone, so jobs reach the office. It is not your phone number.

Your PIN is only kept scrambled, so nobody can read it.

• Not when the app is closed.
• Not in the background.
• Not between jobs, and not on your breaks.
• Not at home, unless you save a job while you are at home.
• There is no live map of where you are. Nobody can watch you move.
• If you say no to the location question, the job still saves. It just has no position.

The position is where you are when you press save, not where the skip is. If you fill in a job later, at the depot, the app records the depot. So save each job at the skip.

• Your employer's office staff. They see each job: the time, the address, the photos, the signatures and a map link to the position. If they click the map link, Google Maps is shown that one spot.
• Your employer's customer. They get a waste transfer note by email. It shows your printed name, your signature, the vehicle registration, the time and the address. It does not show your position or your photos.
• The government (Defra). For loads taken to your employer's own permitted waste site, Tipslip sends details of the waste to the government's waste tracking service. This includes the vehicle registration. It does not include your position, photos, signature, or your name as the driver.
• Tipslip staff, only to fix a problem or if the law makes us.
• Companies that run Tipslip's computers. They store it for us and nothing else.

Nobody else.

Your employer must keep waste records by law. For most loads that is at least 2 years. For hazardous waste it is 3 years. To keep it simple, Tipslip keeps every job record, with your position, photos, signature and name, for 3 years from the day of the job. Then it is deleted. If your employer runs a waste site, it may have to keep some records longer.

Your name stays on old transfer notes even after you leave. The law says those notes must be kept.

The code for your phone is kept for about 3 months. Your PIN is deleted when your employer removes you from the app.

Your employer is in charge of this information. It decides to use Tipslip and what the records are for.

Tipslip builds the app and works for your employer. We only do what your employer asks.

The law's words for this: your employer is the "controller" and Tipslip is the "processor".

Tipslip keeps short records of who connects to its systems, to stop hackers. We keep them for about 30 days.

You can:

• See the information held about you. Ask for a copy.
• Ask for mistakes to be corrected.
• Object to your position or photos being recorded, if you have a personal reason. Your employer must then stop, unless it has a strong reason to carry on.
• Complain.

Go to your employer first. They must answer within one month. If you contact Tipslip, we will pass your request to your employer and help them answer it.

If you are still not happy, you can complain to the ICO, the UK's data protection regulator: ico.org.uk/make-a-complaint.

• We never track you live.
• We never record where you are except once, when you save a job.
• We never use your position, photos or signature for anything of our own.
• We never sell your information.

Your employer must not use these records for something new, like checking your breaks, timing you between jobs, or ranking drivers, without first telling you and having a good legal reason. If a position is used against you, you should be shown it and be able to explain it.
