Understanding Defra statuses
These statuses live on the Submissions page in the office app, and show what's happened once a TIP at one of your own receiving sites reaches Defra. They are separate from the driver app's sync badges — see What to do when there's no signal.
The four statuses you'll see
- Waiting to send — saved, not sent to Defra yet. Nothing to do.
- Sent, awaiting Defra — on its way. If the row also says Retrying automatically, the first attempt hit a technical problem and Tipslip is trying again on its own. Nothing to do.
- Accepted — Defra has the record. Nothing more to do.
- Needs review — something stopped the record going through. The row shows a card that says what went wrong and gives you the one thing to press (see What the rejection card tells you below). Two things end up here:
- Defra sent the record back with a problem. Press Correct the record or Correct, fix the field the card names, and re-submit.
- Tipslip can't confirm whether Defra stored the record. Before you can press Retry, tick the box confirming you've checked the Defra service yourself and the record isn't there. This exists because Defra doesn't publish a way to safely detect a duplicate submission.
What the rejection card tells you
Needs review rows show a card instead of a single sentence, because Defra lists every problem with a load at once. The card gives you, for each problem:
- what went wrong, in plain English;
- who fixes it — Fix in Tipslip (yours to do), We're on it (ours), or Waiting on Defra (nobody can do anything yet);
and then, once, for the whole card:
- one button or link — the next thing to press, whether that's correcting the record, opening a settings page, retrying, or emailing support;
- Not recorded with Defra, with the deadline, when the load still isn't logged and won't be until someone acts;
- Technical detail — a closed toggle holding Defra's own wording, field name and status code. Open it if you're sending something to support; you never need it otherwise;
- How to fix this, a link to the help article for that exact problem.
Two extra flags, not full statuses
- Stored with warnings — Defra accepted the record but flagged something worth checking. This is not the same as Rejected: the record is stored either way, but a warning means you should still look at the detail Defra gave.
- D/R code not yet known — shown when a TIP was saved before the disposal/recovery treatment code was confirmed (see The two-working-day deadline). Use Correct, then Mark complete, once the code is known.
There is no status called "pending", "submitted" or "rejected" — the closest are Waiting to send (not sent yet), Sent, awaiting Defra (sent) and Needs review (sent back or unconfirmed).
